This Privacy Policy describes how Restoration AI Solutions, LLC ("we," "us," "our," or "RAiS") collects, uses, stores, and protects information when you use the RAiS Scoping Assistant application, website, and related services (the "Service").

• Account information: email address, name, company name, phone number, and credentials.
• Job and scope data: property addresses, customer contact information, loss details, photographs, line items, estimates, notes, reports, and chat messages.
• Uploaded files: images, documents, and other files you upload in connection with a job.
• Usage information: device type, browser, IP address, access times, pages viewed, and error logs.
• Feedback and communications: support requests, survey responses, and chat transcripts.
• Payment information: if you subscribe to a paid plan, we collect payment details through our payment processor. We do not store full payment card numbers on our servers.

2. How We Use Information

We use the information we collect to:

• provide, operate, and improve the Service;
• authenticate you and manage your account;
• generate AI-assisted scoping suggestions, estimates, and translations;
• communicate with you about your account, updates, and support;
• maintain security, prevent fraud, and troubleshoot issues;
• comply with legal obligations; and
• analyze usage trends to improve the product.

3. How We Share Information

We do not sell your information. We may share information:

• With your company team: authorized users within your company can view job data and chat history associated with your company account. Each user's individual chat history is tied to their own account and is not visible to other users unless made available by an admin.
• With service providers and subprocessors: we use hosting providers, AI inference providers, analytics services, email services, and payment processors to operate the Service. These providers are contractually bound to protect your data and use it only for the services we request. Categories of subprocessors may be provided upon request.
• For legal reasons: we may disclose information if required by law, subpoena, court order, or to protect our rights, property, or safety, or that of our users or the public.
• With your consent: in any other way you authorize.

4. Data Storage and Security

We store data on secure cloud servers located in the United States. We implement reasonable administrative, technical, and physical safeguards to protect your data. However, no system is completely secure, and we cannot guarantee absolute security.

To the fullest extent permitted by applicable law, we are not liable for damages arising from data breaches, hacking, unauthorized access, data loss, or corruption caused by factors outside our reasonable control or by third parties. Nothing in this Section excludes or limits our liability for damages caused by our gross negligence or willful misconduct.

You store customer data, job data, and other information in the Service at your own risk.

5. Sensitive Data Warning

We recommend that you do not store social security numbers, financial account numbers, insurance claim numbers, driver's license numbers, payment card data, protected health information, or other highly sensitive personal identifiers in the Service. You are responsible for complying with all applicable laws when collecting and storing customer or third-party data.

You may not submit protected health information or other regulated sensitive data to the Service unless you have all required legal authorizations and safeguards in place.

6. Cookies and Tracking Technologies

We may use cookies and similar technologies to keep you logged in, remember your preferences, understand how the Service is used, and improve performance. You can manage cookies through your browser settings. Disabling cookies may affect your ability to use certain features.

7. Data Retention

We retain your account and job data while your account is active. If you delete your account or a specific job, associated data will be deleted from active systems; residual copies may remain in encrypted backups and audit logs for up to six (6) months and in legal holds as required by law.

Chat history tied to a job is kept with the job record and is removed when the job is permanently deleted by your company.

8. International Data Transfers

The Service is intended for users in the United States. Data is stored in the United States. If you access the Service from outside the United States, you consent to the transfer, storage, and processing of your data in the United States, which may have different data-protection laws than your country.

9. Your Rights

Depending on your location, you may have the right to access, correct, delete, or restrict the processing of your personal data. To exercise these rights, contact us at support@prorestoration.ai. We will respond within a reasonable time and in accordance with applicable law.

10. Children's Privacy

The Service is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13. If you believe we have collected information from a child under 13, contact us immediately at support@prorestoration.ai.

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email, by posting a notice within the Service, or both, before the changes take effect. Your continued use of the Service after the effective date of the revised Privacy Policy constitutes your acceptance of the changes.
